The Challenge

The business struggled with fundamental communication issues caused by an outdated OVH Zimbra mail platform. Staff could only access emails via browser, experienced storage limits, and had no unified system for calendars or multi-device access. Day-to-day operations were hampered by delays and a lack of reliability.

From the outset, we looked beyond the technical migration to understand how Mount Coote Stud actually communicated — across devices, locations, and roles. Their challenge wasn’t just about mailboxes; it was about creating a consistent, reliable communication flow. We planned the entire transition around their operational rhythm, ensuring the new system would be live and stable immediately after switchover.

The Solution

We designed a comprehensive Microsoft 365 setup to replace the legacy OVH Zimbra environment, integrating professional Exchange mailboxes, shared calendars, and Exclaimer-managed signatures. The entire infrastructure was built, validated, and tested ahead of the migration. The final switchover was performed on a Friday afternoon, allowing for full verification before the next working day. Every possible risk and edge case was anticipated and mitigated, resulting in a completely pain-free transition.
